Last updated 14 September 2026. This policy is written in plain language and describes what this website actually does. It is still to be reviewed with legal counsel, and will be updated when that review is complete.

What we collect, and when

Our forms collect the information you choose to share. The main request types are described below, along with information recorded or derived when you submit them:

The contact form. Your first and last name, company and email address, and anything you write in the message field. After you submit it, you are offered five optional questions: number of employees, current IT model, primary concern, phone number and job title. Those are optional in the real sense. Your request has already reached us before you see them, and skipping them changes nothing.

The checklist request. Your email address, so we can send you the checklist, and your separate choice about subscribing to the Actually Brief. Requesting the checklist does not itself subscribe you.

The Actually Brief signup. Your email address.

Alongside any of those, we record the date and time, your IP address and your browser’s user-agent string. This is kept as evidence of when and how you gave consent, which Canadian anti-spam law requires us to be able to prove. It is not used to profile you, and it is not used for anything else.

When no company is supplied, we may derive a company label from the email domain for the internal request record. This is an inferred label, not a company name you entered.

What we do with it

We use what you send only to reply to you and to send you what you asked for. We do not sell personal information, we do not share it with data brokers or advertisers, and we will not raise your concern with your technology provider without your permission.

The mailing list, and how to leave it

Asking for the checklist does not put you on the mailing list. Those are two separate things and the checkbox for the newsletter is never ticked for you. If you do subscribe, your email address and name are stored with Resend, our email provider, so that we can send you the Brief.

Every issue carries a one-click unsubscribe link, and it works immediately. You can also reply to any issue, or write to info@actuallyknow.com, and we will remove you.

Who else can see it

Three suppliers, all acting on our instructions and none of them permitted to use your information for their own purposes:

Resend delivers our email and holds the mailing list. Vercel hosts this website and, like any web host, keeps short-term server logs of requests made to it. Google Analytics counts visits to this website, with advertising consent disabled in our Google tag.

These suppliers may process information outside Canada, including on servers in the United States. Our enquiry correspondence is kept in our mailbox.

How long we keep it

Enquiries and their consent records stay in our mailbox as business correspondence. Mailing list entries are kept until you unsubscribe. If you want your information deleted, ask us and we will do it.

Cookies and tracking

This website uses Google Analytics to count visits and see which pages are read and whether an enquiry is successfully submitted. It uses cookies to distinguish visitors. Our enquiry event does not include the name, email address or message you enter in the form.

Our Google tag disables advertising cookies, advertising data use and ad personalization. We use this analytics to understand website performance. We carry no other third-party pixels or tracking scripts. Our emails carry no tracking pixels either, so we cannot tell whether you opened one.

Two things are stored by your browser, on your own device, and are never sent to us or to anyone else. When you ask for the checklist, and when you send us an enquiry, we note that it happened. All either one holds is the word yes. They exist so the site stops offering you a document you already have, and stops pitching to someone who has already been in touch. Clearing your browsing data removes them, and the only consequence is that the offer comes back.

Your rights

Under Canadian privacy law you may ask what personal information we hold about you, ask us to correct it, and ask us to delete it. Write to us and we will answer. If you are not satisfied with how we have handled it, you can complain to the Office of the Privacy Commissioner of Canada.
